Clubhouse Reservation eForm
This form (see below) is used to reserve the Stonegate Mews clubhouse.  The clubhouse is jointly supported by the Mews and Manors communities within Stonegate and is currently available for residents of any of the five different Stonegate properties to reserve and use for a small fee (see below).  The clubhouse room is approximately 20'x20' square and contains approximately 18 plastic 'lawn chairs' along with two round glass tables and 1 small rectangle table.  There is a sink with hot and cold water and one bathroom.  Reservation requests should be placed at least one week prior (recommend two weeks prior) to the event to ensure there is time to process them and arrange for the room to be available.  Please also note that the room is managed by a community volunteer and as such response times may vary based upon their availability/schedule (expect a response within 2-3 days of the initial request).

Terms of the reservation/rental:

Payment - The cost is $100 for Mews and Manors residents and $125 for residents of High Pointe, the Hamptons and the Foundation.  There is also a required deposit of $250 which is returned after the event if the room is returned to its original condition.  We request payment in the form of two personal checks both made out to Stonegate Mews Owners Association (one for $250 and the other for $100 or $125).  The community volunteer will arrange a time to meet with you prior to the reservation and will provide you with a key to the clubhouse in exchange for the two checks.  The $250 deposit check will be returned, assuming no damages or excess wear is done to the clubhouse, after the reservation in exchange for the clubhouse key.

Deposit - any reasonable expenses (if incurred by Stonegate Mews) to restore the room to the condition immediately
prior to the renter using the room, in excess of the deposit, are the responsibility of the renter. Note that a post rental
inspection generally will take place no later than noon of the following day.

Hours of use - in general there is no limit on the hours of use other than use beyond 10pm is not permitted without
written board approval in advance of the use.  Individuals using the room after 8pm are requested to be extra mindful
of the neighboring residents (from a noise / disturbance standpoint).

For profit events - events which may include a fee paid by any attendees to attend, require written Mews or Manors board approval in advance of the use (note that to-date there have been two related requests, neither of which were approved - one was for a recurring class to be held on a weekly basis (with a fee to participate) and the other was for a 'tupperware type party' where the facility was being used in a for-profit type of manner).

Alcohol - if alcohol is planned to be served/consumed at the event, a one-day banquet license/permit from the Virginia
Department of Alcoholic Beverage Control is required. It is the responsibility of the individual reserving the
clubhouse to make sure that all local and state laws/regulations are followed and to obtain any necessary licenses/permits.

Smoking - smoking is not permitted inside or within 10' of the clubhouse.

Parking - there is limited parking within the community. It is requested that guests of a clubhouse event park within the
community of the host and walk to the clubhouse. At no time should guests park in fire lanes or reserved spaces as they
may be towed without notice at the expense of the vehicle owner.

Pool - it is not possible to reserve the pool (meaning clubhouse reservation guests are not permitted to use the pool unless they abide by the full pool rules regarding guests (which require a resident of the household be present in the pool area while the guest is in the pool area)).

Park - the park area grill has a separate reservation form.

Delinquent Accounts - if the household requesting use has any outstanding payment/debt owed to Stonegate Mews and/or the Manors at Stonegate the reservation request will not be accepted until that payment/debt has been cleared.

Mews / Manors community sanctioned events may be exempt from the payment requirements - contact your board for more information (note however that a reservation request is still required to ensure the clubhouse is available and any approved events are required to have at least one board member or board approved committee member present for the event).
